Accommodation, Travel & Visa

As you prepare for your trip to Québec City, we want to ensure that your accommodation, travel, and visa arrangements are seamless and stress-free.

Submission of Visa Applications

Please refer to IRCC website to learn about a temporary resident visa (visitor visa) and the process to apply for one.

Please note that visa applications are considered on a case-by-case basis based on the information presented by the applicant. The onus is on the applicant to show that they meet the requirements for a temporary resident visa. The applicant must meet all the eligibility criteria in order to receive a visa.

Processing times for visa applications vary depending on the visa office and the time of the year.  Participants are encouraged to check the processing times calculator for guidance, but generally we recommend applying approximately 12 weeks in advance of their departure date to ensure they receive the visa in time for the start of the event.

In addition to the application, you will also need to provide supporting documents such as a valid passport, proof of financial support, and additional documents specific to the type of visa you are applying for.

Special Event Codes

The 2nd International Conference on Business, Health and Climate has been registered with The Special Events Unit of Immigration, Refugee and Citizenship Canada (IRCC).

If you require a visa we strongly advise that after registering for this event you request a “letter of invitation” to the Conference. The letter of invitation will contain The Immigration, Refugees and Citizenship Canada’ Special Event Code for the event. The “letter of invitation” will facilitate your entry into Canada and the processing of visa applications.

Electronic Travel Authorization (eTA)

Since November 10, 2016, visa-exempt foreign nationals must have an Electronic Travel Authorization (eTA) to fly to or transit through Canada. Exceptions include U.S. citizens, and Canadian citizens, including dual citizens, and Canadian permanent residents.

Arriving in Canada

As you prepare for your journey, here is important information about arriving in Canada, meeting Canada Border Services Agency (CBSA) officers, and transportation options to the Québec City Convention Centre.

When you arrive in Canada, you’ll go through immigration and customs clearance conducted by CBSA officers. Here is what to expect:

  1. Immigration Clearance: Upon arrival, proceed to the immigration area where you’ll be greeted by CBSA officers. Have your passport, visa (if applicable), and any supporting documents ready for inspection.
  2. Customs Clearance: After immigration, you will proceed to the customs area where you’ll declare any goods you’re bringing into Canada. Familiarize yourself with Canada’s customs regulations to ensure compliance.
  3. Security Screening: Be prepared to undergo security screening, which may include questions about the purpose of your visit, your accommodation arrangements, and your return travel plans.
Transportation to the Québec City Convention Centre

Depending on the airport, if you arrived through the Québec City Jean Lesage International Airport, once you’ve cleared immigration and customs, you’ll need transportation to the Québec City Convention Centre. Here are some convenient options:

Bus: Québec City has a comprehensive public transportation system operated by Réseau de transport de la Capitale (RTC). Several bus routes serve the Québec City Convention Centre area, providing easy access from various parts of the city.

Taxi: Taxis are readily available at the airport and throughout the city. Simply hail a taxi or use a ride-hailing app to request a ride to the Québec City Convention Centre. Be sure to confirm the fare with the driver before starting your journey.

Train: If you’re arriving in Québec City by train, Gare du Palais, the city’s main train station, is located just a short distance from the Québec City Convention Centre. You can either walk or take a short taxi ride to reach your destination.

We look forward to welcoming you to Québec City for an inspiring and productive conference experience!
